Dear Colleagues:

To encourage participation in the upcoming election, Shippensburg University employees are authorized to use up to two (2) hours of paid administrative leave to vote in the upcoming General Election. Voting is one of the most important rights available to citizens. Please visit Voting in Pennsylvania for more information.

Administrative leave is not deducted from employees’ leave balances, and employees are not required to provide documentation to support use of administrative leave for this purpose. Leave requests must be submitted through Employee Self-Service (ESS) using the absence type “Administrative Leave” and entering “Election Day” in the Additional Remarks section.

Administrative Leave used to complete and/or submit a mail-in ballot or to vote in person may be taken between October 27, 2020 and the closure of polls at 8:00 p.m. EST on Election Day, November 3, 2020 and must be requested in advance. Approval is subject to management’s responsibility to maintain efficient operations. Classes and student programs at Shippensburg University will continue as normal during this time period and use of this leave may not result in cancelling of classes or other student activities. The allotment of up to 2 hours includes travel time. This leave is granted in accordance with the Commonwealth Management Directive 505.7, Personnel Rules. Shippensburg University values citizenship and respects diversityincluding diversity of opinion. As we exercise our right to vote, it is imperative that we respect others’ voting choices and opinions of election outcomes. Everyone is encouraged to exercise their right to vote.

Sincerely,
